Grades | How to import grades to Brightspace from Digital Examination (ANS)

The easiest way to import grades into Brightspace from ANS is by using the dedicated web tool. It is also possible to do that manually.

Therefore, in this article you will find a step-by-step guide to use the tool as well as the manual option. For the manual option there is a template file we prepared to assist you in the process.

Using the import tool

The import tool connects ANS with Brightspace and will automatically generate an import file to be used in the Gradebook.

You will find the Import tool under Grades, Import from ANS (pictured below).

Once you have accessed the tool you need to do the following steps:

1. Choose a Brightspace grade item to import to

Please only select one item at a time

With this step you select the desired grade item to connect it to the ANS results.

2. Choose the ANS assignments

You can select the ANS assignment to be connected to the grade item. Multiple assignments can be selected. However, make sure that all of them correspond only to the single grade item you have selected. For instance an exam and its resit.

3. Review the Grades

After you have made the selection you will see different grades. Only the grades in green will be exported into a file, while the Grades which do not have students corresponding in Brightspace or Students without any Test results (through for instance a no-show) will not be exported.

4. Download the Brightspace Import file

This will give you a .csv, which is correctly formatted for import.

5. Import the to the Brightspace Gradebook

Prepare the files

To start you need to:

1. Download the Excel file from Digital Examination (ANS)

  1. Follow the step-by-step instructions on this Exporting results from Ans document
  2. Select Student ID on the Export results section. Student Name and E-mail are optional
  3. Click Export

We will refer to this file as the "ANS File".

The export will be sent to you by e-mail.

2. Download a file from Brightspace

  1. Create a Grade Item in the Gradebook in Brightspace for your Digital Examination (ANS) grade
  2. Export the Excel file from the Brightspace Gradebook as a template for the correct Brightspace settings
  3. Select only the corresponding Grade Item you created in step 4
  4. Click onExport to CSV

We will refer to this file as the "Brightspace File".

3. Download our Grades Transfer Template Excel

Add data to the Transfer Template

Open the Brightspace File and:

  1. Copy the complete list, including the titles for the columns

Open the Transfer File and:

  1. Go to the first worksheet tab (1 Brightspace Export)
  2. Paste the rows you copied in step 8, including the titles. To do so, click on the A1 cell and then Ctrl+V

Open the ANS File and:

  1. Copy (at least) the columns Student ID, Mark and Points. If you selected the Student Name and Email when exporting from ANS you can also copy them.

Go back to the Transfer File and:

  1. Go to the second worksheet tab (2 Ans)
  2. Paste the rows you copied in step 11. If you did not select Student Name and Email when exporting from ANS, you can leave these columns empty

Save the document as a .csv file

In the Transfer File:

  1. Go to the third tab (3 Brightspace import)
  2. Select all the rows under the last student (click on the row number and press Ctrl + Shift + Down arrow)
  1. Right-click on these selected extra rows
  2. Click on Delete (these contain formulas that would cause problems when importing the file into Brightspace)

If your file has more than 500 students, you will need to drag the formulas on the 3 Brightspace Import tab down to match the number of students in your course

Then, save the document by clicking on File and:

  1. Click on Save As
  2. Select the type of file "CSV (Comma delimited) (*.csv)"
  3. Click on Save
  4. On the pop-up window, click on Ok

Finally, your file is ready to be imported into Brightspace.
